Mechanical estimates that go system by system,
not line by budget line.
Mechanical is consistently one of the top three cost drivers on any construction project and it's also one of the most frequently under-estimated. Equipment costs get priced from memory instead of current lead times. Pipe runs get counted from plan view without accounting for the actual routing through congested ceiling spaces. Insulation gets added as a percentage instead of measured from pipe footage by service type. At Remarkable Estimating, we work through every mechanical system the way a careful mechanical contractor would component by component, system by system so the number you bid holds up when the mechanical sub and the equipment vendor come back with their actual quotes.
What Is Mechanical Estimating?
Mechanical estimating is the process of quantifying and pricing a building's mechanical systems from the drawings and specifications: HVAC equipment, ductwork, hydronic piping, plumbing, gas, fire protection, insulation, controls interfaces, testing and balancing, and the labor to install them. A mechanical takeoff is the quantity part of that work; the estimate adds material and labor pricing.
Remarkable Estimating Services, LLC, based in Hawthorne, California, prepares mechanical takeoffs and cost estimates for mechanical contractors, general contractors, developers and owners in all 50 states. We work remotely from your mechanical, plumbing and fire protection drawings and Division 21, 22 and 23 specifications and deliver an itemized Excel or PDF estimate, typically within 48–72 hours. We are an estimating firm: we do not perform or install mechanical work.
For single-trade scopes, see HVAC estimating and plumbing estimating. Electrical is covered in electrical takeoff and estimating, and the whole building in our full-project cost estimating and quantity takeoffs.
Why Mechanical Estimates Are Among the Most Complex and the Most Costly When Wrong
Mechanical systems touch every part of a building. HVAC conditions every occupied space. Plumbing serves every floor and every fixture location. Fire protection covers every square foot of ceiling. The mechanical scope is large, interconnected, and deeply sensitive to the building's configuration which means errors in the estimate don't show up as small discrepancies. They show up as significant budget holes that are hard to explain after the fact.
The most common mechanical estimating failure is treating equipment costs as stable when they're anything but. Chillers, air handling units, boilers, and cooling towers have pricing that moves with supply chain conditions, lead times, and manufacturer availability sometimes dramatically within a single bid cycle. An estimate built on equipment costs from a project six months ago, in a different region, for a different manufacturer, is not a reliable number. It's a placeholder that will be corrected by the vendor quote, usually after you've already committed to it.
Pipe routing is another persistent problem. Plan view pipe runs look shorter than they are. A pipe run measured in plan view is often considerably longer in reality once you account for the vertical drops, horizontal offsets, and routing around structural elements and other systems in the ceiling space. Multiply that across hundreds of pipe runs on a large commercial project and the undercount is significant in materials, in insulation, and especially in labor hours for installation and testing.
Mechanical insulation is consistently the line item that gets underestimated. Insulation type, thickness, and jacket finish vary by service chilled water, hot water, steam, domestic cold water, and condensate all have different insulation specifications. When insulation gets estimated as a flat percentage of pipe cost instead of measured by service type and insulation spec, the number is almost always wrong. Often by enough to matter.
We read the mechanical specifications, count every equipment item from the schedule, measure pipe runs with routing allowances for vertical travel and offsets, calculate insulation by service and thickness, and use current equipment pricing for your project's region and delivery requirements. That's what a mechanical estimate that holds up at buyout actually requires.
Mechanical is the trade where GCs get surprised most often. Not because the scope was hidden it was all on the drawings. It's because the estimate was built at the wrong level of detail for a scope that rewards careful counting and punishes shortcuts.

How Our Mechanical Estimating Process Works
From your mechanical drawings and equipment schedules to a complete, system-by-system estimate ready for submission here's exactly how we approach a mechanical takeoff.
You send us your mechanical drawings and specifications
Mechanical floor plans, equipment schedules, riser diagrams, mechanical room layouts, plumbing plans, fire protection plans, detail sheets, and Division 22 and 23 specifications. The equipment schedules are critical they give us the actual capacities, configurations, and manufacturer model families we need to price equipment accurately rather than from memory. If schedules aren't available or are incomplete, we flag it upfront and document every assumption clearly before we start the takeoff.

We separate every mechanical system before measuring anything
HVAC, plumbing, fire protection, and specialty piping have completely different material costs, labor rates, and subcontractor scopes. Blending them into a single mechanical rate creates a number that's useless for buyout and wrong for every system individually. We identify and separate every mechanical system at the start HVAC air side, HVAC water side, domestic plumbing, sanitary, storm, fire protection, gas and estimate each one independently before assembling the complete picture.
System-by-system never blended into one rate
Equipment priced from schedules pipe runs measured with routing allowances
Every equipment item gets priced from the actual schedule designation and current regional pricing not from a capacity rule of thumb. Pipe runs get measured from the plan with a routing multiplier applied for vertical travel, offsets around structure, and coordination allowances for congested ceiling conditions. On a multi-story building where mechanical is routing through occupied floor plates, plan-view pipe footage and actual installed footage are meaningfully different numbers. We account for that difference.
Schedule-based equipment · Routing-adjusted pipe runs
Insulation measured by service fittings and hangers counted separately
Pipe insulation gets calculated by service type chilled water, hot water, steam, domestic cold, and condensate each have different insulation thicknesses and jacket requirements per the spec. We measure insulation by the pipe footage for each service and apply the correct thickness and cover, not a flat percentage of pipe cost. Pipe fittings get counted individually by type and size not estimated as a percentage of straight pipe because on complex mechanical systems, fitting density varies significantly from one area of the building to another. Hangers and supports get calculated by pipe size and spacing interval.
Insulation by service · Fittings counted individually
Missed-item review, then clean delivery
Before your estimate leaves our desk, we check specifically for the mechanical items most commonly missed: equipment startup and commissioning allowances, testing and balancing scope, specialty piping not on primary mechanical plans, roof drainage not on mechanical plans, and fire protection backflow prevention. Delivery is a clean Excel or PDF organized by system equipment, ductwork, piping by service, insulation, specialties, and labor with a complete scope notes and exclusions sheet so nothing is ambiguous at buyout.

Types of Mechanical Projects We Estimate
From a simple residential HVAC and plumbing package to a fully coordinated multi-system mechanical scope on a large hospital or industrial facility the depth of our process scales with the complexity of the systems, not with what's convenient at bid time.
Residential Mechanical Estimating
New home construction, additions, and whole-home mechanical system replacements HVAC equipment and ductwork, domestic plumbing, water heaters, gas piping, and where required, fire sprinkler systems. Residential mechanical scopes are smaller in dollar value but still require accurate equipment pricing and pipe run counts to protect margin on a trade that moves fast on site. We give builders and mechanical contractors a complete system-by-system breakdown priced to current regional costs.
Commercial Mechanical Estimating
Office buildings, schools, hospitals, hotels, data centers, laboratories, and multi-family residential commercial mechanical scopes are where the largest mechanical cost exposure lives. Complex HVAC systems with central plants, chilled and hot water distribution, multi-floor plumbing riser systems, fire protection throughout, and BAS controls that tie it all together. We handle the full commercial mechanical scope system by system, with equipment priced from schedules and pipe runs measured with proper routing allowances for multi-story buildings.
Industrial Mechanical Estimating
Manufacturing plants, food processing facilities, pharmaceutical production, warehouses, power generation, and utility infrastructure industrial mechanical systems involve process piping, high-capacity HVAC, specialized plumbing for production requirements, and complex fire suppression systems. These are not standard commercial mechanical conditions and they require estimators who understand what a process cooling loop, a compressed air distribution system, or a high-pressure steam system actually costs to install. We price industrial mechanical systems from the actual specifications and drawings not from commercial mechanical benchmarks that have no relationship to industrial work.
Why Mechanical Contractors Choose Remarkable Estimating
Here's what working with us on a mechanical scope actually looks like in practice.
Equipment Priced From Schedules Not From Memory
Mechanical equipment costs move with supply chain conditions, lead times, and regional distributor pricing. We price every equipment item from the actual equipment schedule designation and current market pricing for your project's location not from a rule of thumb based on capacity alone. When the equipment vendor quote comes in, it should match our estimate within a reasonable range. That's the test of whether the equipment pricing was done properly.
Pipe Runs Measured With Routing Allowances Not From Plan View
Plan view pipe footage and actual installed pipe footage are different numbers on every project with vertical routing, offsets around structure, or congested ceiling conditions. We apply routing multipliers based on building type and system complexity so the pipe quantities in the estimate reflect what actually gets installed and tested not what the plan view suggests in a straight-line world that doesn't exist on real job sites.
Every Mechanical System Estimated Separately Organized for Buyout
HVAC air side, HVAC water side, domestic plumbing, sanitary, storm, gas, and fire protection are all separate line items in our estimates never blended into a single mechanical rate. This matters at buyout because mechanical subcontractors price by system, and a blended estimate can't be verified against or compared to their quotes. Our breakdown matches how the work actually gets bid and contracted.
Insulation Specified by Service Not by Percentage
Chilled water insulation, hot water insulation, steam insulation, domestic cold water insulation, and condensate insulation each have different thickness requirements, different material types, and different jacket finishes per the spec. Estimating all of them at the same rate because they're all "pipe insulation" misses the cost differentiation that the spec explicitly calls out. We calculate each service separately from the actual insulation specification and pipe footage for that service.
Fittings Counted Individually Not as a Percentage Add-On
On a straight pipe run with few changes of direction, a percentage-based fitting allowance is roughly defensible. On a complex mechanical system routing through a dense ceiling space with frequent offsets, the fitting density is much higher and a flat percentage dramatically undercounts the real material and labor. We count fittings individually from the drawings elbows, tees, reducers, and unions by size and type so the quantity reflects actual routing complexity.
48–72 Hour Turnaround Flat Project Pricing
Mechanical bids often come together under time pressure, especially on competitive commercial projects where the mechanical scope is large and the bid window is short. Standard turnaround is 48–72 hours from receiving a complete document set. Rush delivery is available for tighter windows just let us know upfront. Pricing is quoted based on project scope and may be provided as a flat project fee or hourly rate. Flat project fees are agreed upfront. No retainers, no surprise fees. Your drawings and project documents stay completely confidential.
