Why Millwork Estimates Are Trickier Than They Look

Millwork looks like it should be simple to price count the cabinets, price the countertop, add trim. In reality it's one of the least forgiving trades to estimate, because a single set of shop drawings can carry three quality grades, four wood species, and a hardware schedule that changes room by room.

The biggest source of missed cost is quality grade. AWI (Architectural Woodwork Institute) Economy, Custom, and Premium grades carry real differences in labor hours, tolerances, and material selection a Premium-grade reception desk in a lobby costs meaningfully more per linear foot than Custom-grade break room casework, even though both might show up as "millwork" on a rough estimate. Blending them into one average rate is how bids come in wrong on exactly the pieces that are most visible to the owner.

Species and finish are the next trap. Plastic laminate, wood veneer, solid wood, and solid surface all price differently, and within veneer alone, grain matching requirements (book-matched, slip-matched, running match) change fabrication labor substantially. A takeoff that treats "upper cabinets" as a single line item regardless of face material is quietly absorbing or losing money on every run.

Hardware is where a lot of estimates get thin. Soft-close hinges, full-extension slides, grommets, pulls, locks, and adjustable shelving standards add up fast across a large casework package, and they're easy to under-allow for when an estimate is built from a linear-foot rate instead of counting actual units and openings.

Architectural floor plans, interior elevations, casework details, finish schedule, hardware schedule, and the project specifications (Division 06 Wood, Plastics, and Composites). The finish and hardware schedules are the most important documents for a millwork takeoff they tell us species, laminate grade, AWI quality grade, and hardware type for every casework run in the building. If schedules are missing or incomplete, we'll flag it before we start and work with what we have, clearly noting our assumptions.

Quality grade, species, face material, edge treatment, and grain-matching requirements are all in the specifications and interior elevations not just on the floor plan. A run that looks like a standard base cabinet on a plan might be a Premium-grade, book-matched veneer assembly with concealed hardware. We read the spec first so every run gets counted at its actual fabrication cost, not at a generic millwork rate that doesn't account for what the piece actually requires.

Different grades and species are counted as separate line items, never blended. Trim and molding are measured by profile and lineal footage from the elevations, not estimated from the floor plan.

A formula based on linear feet works reasonably well for a straight run. It breaks down on L-shaped islands, waterfall edges, and runs with multiple cutouts. We calculate countertop and solid surface quantities from actual shop drawing footprints so the numbers hold up against real fabricator invoices.

Fire-Rated and Specialty Assemblies Get Full Attention

Fire-rated wood doors, ADA-compliant accessible casework, and security-hardware casework in institutional settings all have specific assembly requirements reinforced construction, specific clearances, and in some cases rated core materials with different dimensional properties. Trim and paneling footage is not the same as room perimeter.
