Painting and finishes estimating and takeoff services in the USA
Painting Estimating & Takeoffs | Nationwide USA

Painting estimates built surface by surface,
coat by coat.

Painting is one of the last trades on site which means it's also one of the first to absorb every scheduling delay, every surface that wasn't finished on time, and every substrate condition the spec didn't anticipate. An estimate that doesn't account for surface prep depth, coat counts per finish type, and the actual square footage of every painted surface isn't going to hold up when the painting crew hits the field. At Remarkable Estimating, we measure every wall, every ceiling, every door frame and window jamb and we price what the surface actually requires, not what a generic rate assumes it does.

What Is Painting Estimating?

Painting estimating is the process of measuring every paintable surface from the drawings and finish schedule, by surface type and condition, then calculating prep, primer and finish coats, paint quantities from the specified product's coverage rate, doors, frames and trim, access equipment and labor. A painting takeoff is the quantity part of that work; the estimate adds pricing.

Remarkable Estimating Services, LLC, based in Hawthorne, California, prepares painting and wall-finish takeoffs and cost estimates for painting contractors, general contractors, developers and owners in all 50 states. We work remotely from your architectural drawings, finish schedules and Division 09 painting and coating specifications and deliver an itemized Excel or PDF estimate, typically within 48–72 hours. We are an estimating firm: we do not perform painting work.

Wall board and finish levels are covered in drywall estimating; related finishes in millwork and flooring estimating. For the whole building, see our full-project cost estimating and quantity takeoffs.

Why Painting Estimates Miss the Mark and How We Fix That

Painting estimates look straightforward on the surface. Measure the area, pick a rate, multiply. The problem is that "the area" is almost never what it looks like from the floor plan, and "the rate" rarely accounts for what the surface actually requires once the crew is on site.

The surface area problem is probably the most common one. A floor plan shows you room dimensions. What it doesn't show you without deliberately working through the math is the actual linear footage of wall that gets painted once you account for ceiling height, both sides of interior partitions, door and window deductions, and the trim, jambs, and soffits that add back paintable surface the floor plan never shows. On a large commercial building, the difference between what a floor plan suggests and what actually gets painted can be substantial. That's not a small gap.

Then there's the coat count issue. A two-coat finish on a standard interior wall and a three-coat finish on a high-gloss corridor wall are not the same price per square foot in materials or in labor. If the spec calls for a specific sheen level in a particular area and your estimate priced it as standard eggshell throughout, you're underbidding the labor every time a painter has to cut in twice as carefully because the client is reviewing the finish under direct light.

Surface preparation is the other silent cost. New drywall at Level 4 needs a different prep sequence than Level 5 requiring skim coat. Previously painted concrete needs different primer than bare CMU. Stained wood trim needs more prep time than pre-primed MDF. When surface prep gets lumped into a single labor rate instead of broken out by surface type and condition, the estimate is almost always wrong usually low, occasionally high, rarely right.

We measure actual paintable surface area, break out every finish type and coat requirement from the spec, price surface prep by substrate and condition, and calculate paint quantities from real coverage rates not from a rule of thumb that was never calibrated to your specific project.

The painting estimate that doesn't read the finish schedule is just a wall area calculation. A wall area calculation alone tends to come in short on commercial interiors when nobody measures ceiling height variations across floors or accounts for both faces of interior partitions.

How Our Painting Estimating Process Works

From your architectural drawings and finish schedule to a complete, surface-by-surface painting estimate ready for submission here's exactly how we approach a painting takeoff from start to finish.

  1. You send us your drawings, finish schedule, and painting spec

Architectural floor plans, reflected ceiling plans, elevations, interior elevations, finish schedule, room finish matrix, and the painting specification (Division 09 Painting and Coating). The finish schedule and spec together tell us paint system by room, finish level, coat count, and surface prep requirements. If the spec calls out specific products with defined spread rates, we use those rates for paint quantity calculations. If it's not available, we work from the drawings and clearly note all assumptions.

PDF, CAD, or Bluebeam all formats accepted

  2. We read the finish schedule before measuring a single wall

The finish schedule tells us which paint system applies to which space surface type, sheen level, coat count, and any special requirements like antimicrobial or washable finish in healthcare areas. Before we measure anything, we build a complete map of paint systems across the building so every surface gets measured against the right system and the right labor rate. A standard interior eggshell and a semi-gloss high-traffic corridor finish are not the same cost, and they get estimated separately.

    Finish-schedule-first system by system

  3. Actual paintable surface area measured not estimated from floor plan

Using PlanSwift or Bluebeam Revu, we calculate actual paintable surface area for every surface type. Walls get measured by run length multiplied by ceiling height with both faces of interior partitions included where applicable. Door and window openings get properly deducted, and door frames, jambs, and sills get added back as separate linear foot items. Ceilings get measured from the reflected ceiling plan. Exterior surfaces get measured from elevations, not plan view. Everything traces back to a real dimension on the drawings.

Actual surface area not floor plan approximation

  4. Surface prep scoped by substrate paint quantities from real coverage rates

Surface preparation labor gets broken out by substrate type and condition new Level 4 drywall, new Level 5 drywall, new CMU, previously painted surfaces, bare wood, bare steel. Each has a different prep sequence and a different labor time. Paint quantities get calculated from the actual coverage rate for the specified product and coat count not from a generic gallon-per-hundred-square-feet assumption that doesn't reflect what the spec calls for. On specialty coatings and multi-coat systems, this difference matters a lot.

Prep by substrate · Paint by coverage rate

  5. Missed-item review, then clean delivery

Before the estimate leaves our hands, we check for the painting items most commonly missed: both faces of interior partitions, ceiling painting separate from wall painting, structural steel priming, masonry block filler coats, door counts including both faces and frames, and scaffolding or lift requirements for high ceiling work. Delivery is a clean Excel or PDF: paintable areas by surface type and room, paint system and coat count, prep labor, material quantities, and a full scope and exclusions sheet.

Types of Painting Projects We Estimate

From a single-room residential repaint to a full multi-story commercial interior and exterior painting package painting estimate complexity scales with the number of surfaces, finish types, and substrate conditions involved. Our process handles all of it.

Residential Painting Estimating

New construction, complete repaints, room-by-room renovations, and exterior repaints residential painting estimates need real surface area counts, not a per-room rate that doesn't account for ceiling height variations, trim complexity, or the difference between painting a standard builder-grade interior and a custom home with detailed millwork throughout. We give painters and contractors a complete surface-by-surface breakdown with prep labor, primer, finish coats, and trim all counted separately.

Commercial Painting Estimating

Office buildings, schools, hospitals, hotels, retail centers, and multi-family residential commercial painting scopes are large, finish-schedule-driven, and involve multiple paint systems across hundreds of spaces with different surface types and requirements. Antimicrobial coatings in healthcare, high-traffic semi-gloss in corridors, standard eggshell in offices, and specialty coatings in mechanical rooms all at different coat counts and labor rates. We handle the full commercial painting scope with every surface type broken out separately and priced to your specific project location.

Industrial Painting Estimating

Warehouses, manufacturing plants, food processing facilities, refineries, and power generation industrial painting is a completely different category from standard architectural painting. High-build epoxy wall coatings, chemical-resistant linings, intumescent fireproofing systems, corrosion-resistant coatings for structural steel, and traffic marking systems all have specific application requirements, multiple-coat processes, and surface prep standards that a standard painting estimate approach doesn't capture. We price industrial coating systems coat by coat, from the actual product spec and coverage data.

Why Painting Contractors Choose Remarkable Estimating

Here's what working with us on a painting scope actually looks like in practice not just what we say we do.

Actual Surface Area Measured Both Faces of Partitions Included

A floor plan shows you one face of every wall. Interior partitions get painted on both sides. On a large commercial building with hundreds of interior partitions, this difference between one-face and two-face measurement is significant total paintable area. We measure every wall surface from the drawings both faces where applicable, at actual ceiling height so the surface area in the estimate reflects what the painter actually covers.

Every Finish Type Priced at Its Actual Coat Count

A standard two-coat interior wall finish and a three-coat high-gloss semi-gloss finish are not the same labor or material cost. Neither is a Level 4 prep and a Level 5 prep. We assign coat counts and finish levels from the spec and finish schedule space by space, surface by surface. What the spec requires is what gets priced. Not a blended average that under-prices the high-spec areas and over-prices the standard ones.

Surface Prep Scoped by Substrate Not Lumped Into Labor

New drywall prep, CMU block filler, bare steel priming, previously painted surface prep, and stained wood prep all require different materials, different labor sequences, and different time per square foot. We break surface preparation out by substrate type and condition as separate line items not buried inside a labor rate that the painting sub can't verify or the GC can't value-engineer.

Paint Quantities From Coverage Rates Not Per-Gallon Guesses

Every paint product has a specified coverage rate at a specified film thickness. A high-build epoxy covers differently than a standard architectural flat. We calculate paint quantities from the actual spread rate for the specified product and the number of coats required not from a generic gallon-per-square-foot assumption that has no relationship to what the spec actually calls for. On specialty coatings, this difference can be a significant material cost.

Doors, Trim, and Millwork Measured Separately Not Included in Wall Area

Doors get counted per leaf with both faces, frames, and hardware masking calculated. Trim and base get measured by lineal foot. Window frames, jambs, and sills get measured as separate items. On a commercial project with hundreds of doors and thousands of linear feet of trim, these elements are a meaningful portion of the total painting labor. Rolling them into wall area at a flat rate is one of the most reliable ways to underprice a commercial painting scope.
